Job Description

HR Strategy & Policy
Define HR policies, budgets based on strategy road map
Create a manpower plan, performance and engagement framework and relevant budgets
Provide inputs for correction in compensation based on industry trends
Develop performance management system & period for region
Review past performance and arrive at HR focus areas for the year.
Prepare HR budgets and departmental manpower cost estimates

Budgeting
Analyze past spends on HR
Determine budget for recruitment, employee welfare, training & development, facilities and
rewards and recognition
Monitor actual spend Vs the budget.
Communicate budgets to Finance Department and functional heads

Recruitment
Receive manpower requisition along with job description and reasons from departments in
the prescribed format
Manage approval from Regional Head, Head HR Corporate and CEO
Refer recruitment policy and sourcing guidelines
Issue circulars about the vacant post across departments
In case of field staff check existing staff details and possibility of transfer
Discuss with Head Operations for transfer of such cases
Undertake Internal application referral.
Provide necessary details to external sourcing agents/ Ad agencies

Rewards & Recognition
Develop and implement rewards & recognition schemes
Develop and implement non-monetary recognition activities
Instate recognition awards like Employee of the month/ year, Long service award, Highest
cost saving, Best customer service record
Receive list of eligible employees for the R&R
Resolve requires if any.
Execute rewards and recognition
Performance Management System
Conduct Training/ mock sessions on Performance Management Philosophy and Process
Communicate the PMS procedure and timelines across function
Define guidelines to be followed by an appraiser
Follow up to ensure Performance forms are completed within the timeline
Ensure Appraisers provide apprises with performance feedback, training needs and areas for
improvement
Ensure conduct of Annual Performance Review, as per timeline
Track the development progress of non-performance and document serious concerns (if
any)
Provide inputs on Training requirement to training and development team
Identify star performers
Generate Bell Curve as applicable
Update the year end performance appraisal ratings
Conduct discussions on performance, feedback for improvement and rating scales.
Monitor the quality of review done and challenges decision/ recommendations

Employee Engagement
Benchmark best practices in Employee Welfare to develop/ review employee welfare
strategies and policies
Allocate budgets for Employee Welfare activities
List and Communicate the objectives of the activities to all HODs
Ensure Welfare activities are conducted as per schedule.
Generate the feedback report/ Grievance Report and forward the report to CEO
Employee Separation
Counsel employees who have submitted their resignation
Inform Head of the department & effort to be made to retain if req.
Collect and analyze the results of exit interview based on set dimensions
Ensure commercial authority and control are disabled for the employee who has resigned
and inform Finance
Ensure full and final settlement is done
Provide relieving letter of the concerned employee on the last day
Document the learning
Update the database and close employee records
Provide employees with contact from HR for query handling after exit.
Maintain database for ex-employees for potential rehires
HR Data Administration
Establish guidelines for managing & processing employee data with approval of Head HR
Corporate
Communicate the guidelines on data to be sent/ received from HR Data Administration
across functions
Evaluate an option of maintaining employees personal records in system
Employee data of HO and all the sites to be maintained centrally at HO (as per guidelines)
Maintain personal records cards of the new joiners
Maintain details of confirmation
Manage changes in employee compensation
Maintain employee training details
Update changes in organization positions and roles
Maintain performance rating of employees
Maintain changes in employee designation and roles
Receive & update monthly time office report
Update feedback & report on welfare activities conducted
Update changes in compliance manual and maintain records of compliance
Receive/ Delete resigned/ Transferred employee data
Process Employee Personal Data Changes
Maintain the updated HR database
Forward the necessary employee & dependent details to authorized recipient on request.
Forward the updated employee details to payroll
Manage Statutory Compliance
Provide input on statutory and legal compliance
Support in preparation of compliance manual & define checklist for compliance
Ensure compliance for statutory and legislative requirements
Ensure all statutory documents are filled on joining
Ensure statutory deductions from employee salary as per norms
Ensure timely submission of PF forms for employees who are resigning
Follow up with PF office for settlement, contribution and transfer of PF
Ensure renewal of liaison agreement for gratuity settlement
Coordinate with consultant/ government authorities for regulatory certification and
registrations
Ensure on time replies to government quires and data requirement
Ensure HR compliance manual is accessible to HR team.
Document regulatory amendments and cases/ lessons learnt
