Job Description


Receive application and conduct preliminary screening as per post conduct telephonic interview for screening for ZHL employment
Reimburse the travel cost in case of outstation candidate if applicable and provided in the HR Policies
Conduct functional test as per post
Analyze the test results based on the set dimensions and provide feedback to Head HR
Map the feedback against the parameters set from the interviewer/ selector
In case of rejection inform employees of rejection
Arrange and conduct technical interview and written test with concerned function HODs/ CEO (as per position)
Collect aggregated scores & feedback on interview evaluation form
Obtain completed applicable form, relevant documents and other forms from candidates
Arrive at salary/ Designation offer to be given in consultation with Head HR based on approval from business Head and Budget for every position
Send the candidate for medical test (if applicable, for example Pilot should be send for eye/ Vision checkup)
Obtain results for medical test and inform candidate for rejection / approval
In case of rejection analyze the reason for rejection
Initiate the process of background check & reference check if required
Issue of offer letter to the candidate
Receive acceptance & confirm joining date with the candidate (For Field staff with outsourcing agency to execute contract
Schedule orientation of the new hire
Capture details in recruitment database

New Hire- Appointment and Confirmation

Refer policy for appointment (Probation Period, Confirmation)
Start evaluation of the trainees/new joiners based on the set dimensions at the end of the training period
Initiate the confirmation procedures for candidates completing probation period.
Coordinate with other support function to provide necessary data

New Hire Orientation

Design/ Develop an orientation kit consisting required details about the organization and key contacts
Plan for orientation activities for new hires.
Identify the necessary support to be provided as per policy in coordination with administration (Transport, Transit Accommodation, Access ID, Desktop Laptop, Cubical, mobile connection etc as per Policy)
Ensure pre-joining formalities are completed
Develop and schedule new hires customized orientation plan, based on grade and functional areas
Assign buddy to the new joiners in consultation with Head HR & Functional Head
Intimate the reporting officer a week prior to joining about the joining date
Email/ issue circular to all concerned departments (including reporting officer, Admin officer, Payroll etc) regarding joining of the new hires
Collect from the new recruit all necessary documents as per the policy
Issue appointment letter along with detailed Job Description & ensure all joining formalities are completed
Circulate an email across department about the new hires
Update and maintain employees data checklist
Introduce to department employees and key people in the organization
Collect feedback from the new recruit on quality of induction based on a detailed checklist
Educate employee on competency framework, KRA setting and PMS
Create Individual Career Development Plan (KRAs)with inputs from immediate supervisor
Update the employee data checklist on allocation of resources and data updating
Document the feedback and lessons learnt

Compensation & Benefits

Receive inputs on individual performance rating
Document the rating based on the performance rating
Suggest the desired changes in salary structure and benefits for eligible employees to HR Head Corporate
Prepare an overall increment document and send it for approval
Document employee Salary Data Changes
Notify the employees of changes in salary
Administer salary verification request
Forward the details to payroll for processing
Analyze the total percentage increase/ decrease in compensation and generate a report and provide the report to Head Corporate HR

Training & Development

Review training & development policy along with Head HR corporate
Collate Training Needs identified through PMS and management decisions
Perform Preliminary assessment of training and development needs identified
Identify and develop in house trainers
Identify and source external agents for providing customized training inputs with commercial proposals
Shortlist appropriate service providers from database
Design Training & Development calendar
Communicate the conduct of training session across departments
Coordinate with Admin for arrangements of necessary training materials
Reconfirm with in house trainers for agenda of the event
Take feedback from the attendees after completion of the training event
Conduct post training test and evaluate the results
Arrange for training & Development issues redresser meeting between HR and Functional Heads

Performance Management System

Conduct Training/ mock sessions on Performance Management Philosophy and Process
Communicate the PMS procedure and timelines across function
Define guidelines to be followed by an appraiser
Follow up to ensure Performance forms are completed within the timeline
Collate all Performance Forms
Ensure Appraisers provide apprises with performance feedback, training needs and areas for improvement
Ensure conduct of Annual Performance Review, as per timeline
Track the development progress of non-performance and document serious concerns (if any)
Provide inputs on Training requirement to training and development team
Update the year end performance appraisal ratings
Conduct discussions on performance, feedback for improvement and rating scales.
Forward the inputs to Compensation and benefits for processing the increments

Employee Engagement

Plan engagement activities for Fun Days across regions (PAN India)
Ensure Welfare activities are conducted as per schedule.
Generate the feedback report/ Grievance Report and forward the report to CEO
Follow up with regional HR for rewards & recognition tracker on monthly basis

Employee Separation

Receive application from employee for resignation
Inform Head HR & Department HOD
Collect and analyze the results of exit interview based on set dimensions
Start disciplinary actions against key employees after receiving complaints and dissatisfaction report
Ensure commercial authority and control are disabled and inform Finance
Ensure full and final settlement is paid
Update the database and close employee records.
Maintain database for ex-employees for potential rehires

HR Data Administration

Receive inputs on Employee Data from various HR Process touch points
Maintain all records as per HODs direction & update records periodically
Manage changes in data after HODs approval
Forward the necessary employee & dependent details to authorized recipient on request.
Forward the updated employee details to payroll

Salary: INR 7,00,000 - 8,00,000 P.A.
